1. The request comes in
A customer calls, texts, or books online. If you miss the call, the AI receptionist answers in your shop's name, captures who they are, what they drive, and what they need, and saves the transcript. Either way, the request lands on your vehicles board as a new car with an open issue, and you get a notification.
2. You check them in
When the car arrives, check it in. Enter the plate or VIN (the VIN decodes automatically to year, make, model, and engine), pick the customer, and describe the complaint or pick the services. The car takes its place on the board.
3. You build and send the estimate
Open the issue and build the estimate: add parts and labor by hand, drop in a template, or let AI draft it from the diagnosis. When it is ready, send it. The customer gets a text with a link.
4. The customer approves from their phone
They see a plain-English report, the itemized price, and three choices: approve (with a typed signature), ask a question, or decline. See what the customer sees. The moment they approve, you are notified, the work is marked approved, and a draft invoice starts assembling itself.
5. The shop does the work
The car moves through stages automatically as facts change: order the parts, start the job, mark it ready. Your techs run all of it from the mobile app in the bay. The customer can watch progress on a live status page.
6. The customer pays
Send the invoice by text. The customer signs and pays from their phone before pickup, or in person at the counter. The receipt sends itself, the books update, and the car leaves the board when you mark it picked up.
