The AI receptionist

Answers your calls and texts in your shop's name, captures the request, and creates the lead.

Every missed call is a missed job. The AI receptionist picks up when your team cannot, has a real conversation, and turns it into a lead on your board with the transcript attached.

What it does on a call

  1. Greets the caller in your shop's name.
  2. Captures their name, their vehicle (year, make, model, checked against a live catalog so trims come out right; it never asks for a VIN), and what they need, each service separately, symptoms in the customer's own words.
  3. Reads the request back, asks if there is anything else, and submits.
  4. The caller gets a confirmation text so they have a thread to reply into.

It answers texts the same way, in short natural messages, and can share your booking link.

What it will never do

  • Quote prices
  • Promise appointment times
  • Give repair advice

Anything outside lead capture, like a question about a car already in the shop, becomes a callback request for your team, or a live transfer if you have set a transfer number. A caller who says "no thanks" is left alone; the receptionist never re-pings a decline.

Languages

In texts, the receptionist speaks your customer's language without any setup: a customer who texts in Spanish gets Spanish back, and the whole conversation stays in their language through the read-back and goodbye.

Phone calls listen in one language at a time. Out of the box that's English. If your shop serves a community that mostly speaks another language, set it in Settings, Receptionist: the whole phone line then runs in that language (Spanish, Portuguese, Chinese, Vietnamese, Korean, Russian, French, Tagalog, or Arabic), greeting, listening, and speaking, so callers are understood from their first word. On an English line, a caller who asks for another language gets replies in it, but they're heard best when they speak clearly and simply.

Whatever language the conversation happens in, the lead your team sees is readable: requested services are recorded in English, names and addresses in Latin script, and the customer's own description of the problem is kept word for word with an English translation next to it.

Where the lead lands

Submitting a lead creates the client (matched by phone), the vehicle, and one open issue per requested service. It appears on your vehicles board as a Scheduled car ready to quote, admins get a notification, and the full transcript is saved to the receptionist console.

Working alongside your team

The receptionist yields to humans automatically. It stays out of a thread when the customer has a car actively in the shop, when staff recently texted that thread themselves, or when it is a reply to one of your outreach messages. If a texter goes quiet mid-conversation, it sends exactly one nudge after about an hour; after a day of silence it closes the thread and saves what it gathered as a partial lead for manual follow-up.

Turning it on

Settings, Receptionist has separate toggles for calls and texts, plus the optional transfer number. Both require your shop's texting number to be live first; see Texting setup.

Mobile service shops

When mobile service is on, the receptionist knows there is no shop to visit: it tells callers the tech comes to them (with your service radius), never suggests coming in or dropping off, and asks roughly where the car is so the lead arrives with the address in the note.
