Privacy Policy

1. Who we are

CarSignal ("CarSignal," "we," "us," or "our") provides web and mobile software for shop intake, scheduling, inspections, diagnostics, messaging, quoting, invoicing, payments, and related shop operations. We can be reached at admin@trycarsignal.com.

2. Scope of this policy

This policy applies to CarSignal's website, web app, mobile app, APIs, customer-facing quote and invoice pages, and related services. Repair shops use CarSignal to manage their own customers and vehicles. For customer records entered by a shop, the shop is generally the business responsible for deciding why and how that information is used, and CarSignal processes that information on the shop's behalf.

3. Information we collect

Account and shop information. We collect shop names, business contact details, owner and technician profiles, login details, roles, permissions, business hours, service settings, tax and labor settings, subscription status, and support communications.

Customer, vehicle, and repair information. Shops may enter customer names, phone numbers, email addresses, vehicle details such as year, make, model, VIN, license plate, mileage, color, customer concerns, diagnostic trouble codes, inspection results, notes, photos, videos, estimates, quotes, invoices, payments, repair orders, time entries, parts, labor, and status updates.

Messages and communications. CarSignal stores customer SMS and email threads, appointment reminders, quote and invoice messages, notification records, and related delivery status so shops can communicate with customers and keep a history of job activity.

Photos, videos, scans, and files. The mobile app may collect inspection photos, inspection videos, check-in photos, VIN scans, license plate scans, and uploaded files when a user chooses to capture or upload them.

Device and usage information. We collect information needed to operate and secure the service, such as IP address, device type, browser or app version, pages or screens used, error logs, crash diagnostics, authentication events, and push notification tokens.

Integration information. When a shop connects optional third-party services, such as payment processing, accounting sync, messaging, email, parts ordering, calendar, or other integrations, we store the credentials, tokens, IDs, settings, and transaction data needed to provide the integration the shop authorized.

Payment information. For subscriptions and invoice payments, payment details are handled by payment processors. CarSignal may store payment status, transaction IDs, connected account IDs, invoice status, billing contact details, and limited card metadata such as brand and last four digits. We do not store full card numbers.

4. Mobile app permissions

The CarSignal mobile app may request device permissions only when needed for a feature:

You can control these permissions through your device settings. CarSignal does not collect precise location data unless we add a feature that clearly asks for that permission.

5. How we use information

6. AI features

CarSignal includes AI-assisted features for diagnostics, summaries, repair explanations, message drafting, and in-app help. To provide these features, we may process job information, vehicle information, diagnostic codes, inspection notes, messages, and other context through AI service providers. We do not use one shop's customer data to train models shared with other shops without that shop's explicit consent.

AI output may be incomplete or incorrect. Shops and technicians are responsible for reviewing AI-generated suggestions before relying on them or sharing them with customers.

7. How we share information

We share information only as needed to provide, secure, support, or improve CarSignal, or as directed by a shop. We may share information with:

We do not sell personal information. We do not share personal information with advertisers. We do not track users across other companies' apps or websites for advertising purposes.

All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

8. SMS and email communications

Messages from CarSignal to shops. We may send transactional messages such as account confirmations, password resets, security alerts, billing notices, trial notices, product updates, and support messages. Some operational messages are required to provide the service and cannot be opted out of while an account is active.

Messages from shops to their customers. CarSignal lets shops send SMS and email messages to their own customers, including quote links, appointment reminders, inspection updates, declined-service follow-ups, invoice links, and status updates. The shop chooses the recipients and message content and is responsible for obtaining any consent required by law and honoring opt-out requests.

If you are a customer of a CarSignal shop and want to stop receiving SMS messages, reply STOP to any SMS. For email, use any available unsubscribe link or contact the shop directly.

9. Security

We use technical and organizational safeguards designed to protect information, including encryption in transit, access controls, role-based permissions, server-side secret storage, audit logging where appropriate, and database isolation between shops. No system is perfectly secure, but we work to protect CarSignal against unauthorized access, disclosure, alteration, and loss.

10. Data retention

We keep shop account data and shop-created customer records while the shop maintains an active account or as needed to provide the service. After account closure or a verified deletion request, we delete or anonymize personal data within a reasonable period, unless we need to keep it for legal, security, backup, billing, dispute, or fraud-prevention reasons. Backup copies may take additional time to expire.

11. Your choices and requests

Shop owners and authorized users can update much of their shop, customer, vehicle, and job data inside CarSignal. To request access, correction, deletion, export, or account closure, contact admin@trycarsignal.com. We may need to verify your identity and authority before completing a request.

Customers of a CarSignal shop should usually contact the shop directly because the shop controls the customer records it created. If you contact CarSignal about a shop customer record, we may direct the request to the shop or ask the shop to verify the request.

12. Children

CarSignal is intended for businesses and their authorized users. It is not directed to children, and we do not knowingly collect personal information from children under 13.

13. International users

CarSignal is operated from the United States. If you access CarSignal from outside the United States, your information may be transferred to, stored in, and processed in the United States and other locations where our service providers operate.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date above. If changes are material, we may notify shop admins by email or through the product.
